SPANISH RED CROSS-INDONESIA DELEGATION

POSITION DESCRIPTION: fINANCE AND ADMINISTRATION OFFICER Duty station: Jakarta (with frequent travels to the project sites). Date of Hire: 27th August 2012. Type of contract: Fixed Term Contract (6 months’ probation with possibility of extension). Report to: Country representative. QUALIFICATIONS University degree is required, in Economics or similar field. Four-year experience working in finance and administration field is required. Experience in supervision of Finance/administrative staff is preferable. Experience of working/volunteering for PMI or the Red Cross/Red Crescent Movement is preferable Excellent use of Microsoft office package. Excellent in English (Spoken and written). Good communication and interpersonal skills. KEY TASKS KEY TASKS ON FINANCE - Responsible for the overall day-to-day management of the Financial Issues of the SRC Indonesia Delegation (which includes global accountancy reconciliation and follow up of all SRC and Donors Projects in Indonesia,Financial Control on expenses, monitoring and financial counseling of all the SRC staff of the Indonesia Delegation). - Elaborate a conciliated quarterly financial report, submit by courier all physical justification of expenses (invoices and other supporting documents) and introduce the data in the SRC Accounting Software. - Management of SRC bank accounts in Indonesia. - Elaborate the quarterly budget follow up of each project implemented at SRC Indonesia Delegation. - Ensure all finance reports and invoice verifications meet SRC financial regulations. - Assist SRC Country Representative in preparing the request of fund transfer from Headquarter to Indonesia delegation. - Last responsible of petty cash management. - Manage the work of the finance and administration assistant working under her/his supervision. Key Tasks on ADMINISTRATION • Last responsible for the management of SRC assets (inventory,insurance, maintenance, transport) • Responsible of following SRC procurement regulations (including competitive bidding when necessary).Make follow up of all the matters related to SRC Delegates of the Indonesia Delegation, specially Visa and Kitas. • Ensure the punctual payment and correct calculation of salary of staff in Indonesia delegation. There will be occasions when he/she is asked to carry out additional tasks outside of these duties for variety of reasons due to the nature of humanitarian work in which SRC is engaged. As a SRC staff, s/he is expected to carry out these additional tasks willingly and responsibly to the best of her/his abilities.
