Reporting Officer Based in Jakarta, Indonesia Fixed Term Contract JOB TITLE: REPORTING OFFICER DIVISION/DEPARTMENT/LOCATION: International/Programme/Jakarta-Indonesia JOB LEVEL :National D1 OXFAM PURPOSE: To work with others to find lasting solutions to poverty and suffering TEAM PURPOSE: To develop and maintain good quality and consistent relationships with donors and all Oxfam affiliates in Indonesia; To effectively support program teams and programme support team to plan develop concept papers and proposals in accordance with country strategy and donor requirements; To improve the programme quality by develop and maintain effective monitoring, evaluation and learning systems; to ensure on-time quality and compliant reporting to donors. JOB PURPOSE: To support and build the capacity of programme teams on quality report writing and on-time submission of internal and external reports. To facilitate the production and sharing of the necessary documentation for the smooth functioning of the Single management structure(SMS) process and support the country management team to meet the reporting re and reporting of the SMS REPORTING LINES: Post holder reports to: Programme Development and Funding Coordinator (PDFC) Dimensions · Support and produce clear and quality reports(financial and narrative) when necessary. · Improve the country team’s capacity on report writing through Training, and coaching. · Collate information from a defined range of sources (external or internal). · Deals with problems which may be repetitive, some of which may be complex. · Deals with people both externally and internally to influence adherence to Oxfam or to internal ways of working. · Working under pressure with multiple tasks and completing tasks on time. · Handling advanced web based and manual reporting system Key Responsibilities · Preparation of Reports:Support the programme team to produce good quality reports, case studies and learning documents. Cross check compliances as per the donor and Government reporting requirements and timely submission. · Proposal Development.Support Funding and Programme team in planning, coordinating and developing high quality concept papers, proposals and budgets · Contract Management.Support programme team on timely submission of report and meet the mandatory reporting requirements of different donors. Maintain high quality documentation system as per the contract requirements · Research, mapping and analysis. Support PDFC in research and map existing and new donor prospects. · Administration.Keep the Oxfam programme management database( Peoplesoft) and shared files accurate and up-to-date at all times; Advice programme staff on how to use the programme management database effectively when a programme has external donor funding. · Single management structure:Assisting with the production, sharing and updating of the range of documents necessary to reach overall agreement within the CLT and the Programme Governance Group on the introduction of the Single Management System (SMS) and its implementation after 'go live'. Also assist with the organising and reporting of all CLT meetings and teleconferences. Skills and Competence Essential · High quality written and spoken English language skills to write high quality reports · Commitment to the principles of gender and diversity, demonstrable cultural sensitivity. · Ability to work effectively with others influencing, supporting, informing and following as required, in order to achieve the targets. · Information management and IT skills with good attention to detail in order to develop and analyse donor budgets and financial reports; and to develop / maintain, and give guidance on electronic and manual contract management and reporting systems, · Ability to analyse information by using different e-tools and prepare good quality reports/ presentations/ materials · Effective oral and written communication skills with a wide range of people working in different situations, · Able to work independently, set own work plan, meet tight deadlines and balance competing priorities · Willingness to undertake frequent travel and work flexible. · A team member · Gender knowledge and cultural sensitivity with a strong commitment and understanding of the values and principles of Oxfam.
